Applicant/property matching in VIA and manually sending email property alerts to the relevant matches

You can use VIA for the purposes of applicant or property matching. This allows you to view all properties which meet a single applicant’s criteria, or all applicants who would be interested in a singular property.

Once you have completed the applicant/property match, you can also send a property alert to the relevant applicants.

To match a property to all applicants (property match)

  • Login to VIA

  • Go to the top tab titled CRM > Property

  • Search for the relevant property using the search box

  • From the property list view, right click the relevant property and select Match Applicants

  • A new tab will open which will display all of your contacts who have been marked as an applicant whose search criteria match those of the property. You can view the advanced filters at the top of the tab to see the exact criteria on which the match has been carried out. You can further edit these search filters to amend your search results

  • If you cannot find an applicant who you think should match the criteria, search for the relevant contact and ensure:

    • They have been marked as an Applicant in the Requirements section. Only applicants will return in any property match

    • Ensure the applicant criteria in the Requirements section has been correctly filled out. The match will use this criteria, so it’s important the information has been added correctly.

  • To send a property alert to your matching applicants:

    • Click the square box on the left hand side of the grid titles to highlight all of your contacts/applicants. Alternatively, individually select the applicants you want to email by clicking the square icon on the left of their name. Hold down control to highlight multiple contacts

    • Right click a highlighted contact and select Send > Email/SMS

    • A pop up will appear showing the contacts you are sending your email to and the properties being emailed. Any applicant shown in read will not be sent an email (either because they have specified not to be contacted by email or because their email address is invalid). You can remove contacts and/or properties individually by clicking the x icon next to them

    • You can Edit the Subject field to customise the subject of the email

    • You can add a personalised message using the Message field

    • Click the Send Email button to send your email

To match an applicant to all relevant properties

  • Login to VIA

  • Go to the top tab titled CRM > Contacts

  • Search for the relevant contact using the search box (we recommend you ensure the Set To field is set to Applicant. You can only perform a property match on contacts marked as an applicant)

  • From the contact list view, right click the relevant property and select Match Applicants

  • A new tab will open which will display all the properties whose details match those of the applicant’s criteria.   • To send a property alert email to your applicant with all matching properties

    • Click the square box on the left hand side of the grid titles to highlight all of your properties. Alternatively, individually select the properties you want to email by clicking the square icon on the left of the address. Hold down control to highlight multiple properties
